Xero Integration

Xero is one of the online accounting integrations available on our platform, making it easier to manage your finances and Invoices, import users from WebWork, and Contacts from Xero.

 

Here is how you can Enable the Xero Integration and Accesabilities we suggest to our users.

  • Go to the Integrations section in your WebWork dashboard. Here you can see all the integrations available in WebWork.
  • Select the Enable button next to Xero to get started.

  • Review Permissions
    • The page that opens will display what WebWork Tracker access requires.
    • Agree to continue and that’s all

  • Authorize Workspace
    • After clicking on the Allow Access button, you will be redirected to the WebWork Tracker dashboard.
    • Authorize the workspace by clicking on the workspace name.

Check Settings

Members tab

1 Import Members:

  • You can choose from the list of your WebWork members who you like to import to Xero
  • You can also search for existing members using the search bar at the top.

2. Sync Members:

  • Toggle the "Auto-sync users from WebWork to Xero" switch to enable or disable automatic synchronization of members between the two platforms. This means newly added members in WebWork will be Imported to Xero

3. Import:

  • Once you've made your selections or added new members, click the "Import" button to transfer the data to Xero.

Xero Contacts tab

  • Invite Xero Contacts: You can invite individuals from your Xero contact list to join your WebWork workspace.
  • Search for Existing Members: Use the search bar to find existing members within your WebWork workspace.
  • Toggle Auto-Sync Users: Toggle to Enable or disable automatic synchronization of users between WebWork and Xero. If you add a new Contact to your Xero, then those Contacts will automatically be ported to WebWork.
  • Import Users: Click on the Import button to transfer selected users from Xero to WebWork.

Invoices

1. Enable Automatic Invoice Sending:

  • Locate the "Automatically send invoices to Xero" toggle switch.
  • Toggle the switch to the "On" position to activate automatic invoice sending.

2. Set Due Date Offset:

  • Customize the due date for sent invoices by specifying the desired number of days after invoice creation.

3. Weekly and Monthly Frequency:

  • Select the desired frequency for sending already created invoices in WebWork to Xero.
  • Please note that only the "Save" button will be active after making your selection.

4. Save Your Settings:

  • Click the "Save" button to apply the changes you've made.

Note: These settings will only be available when "Automatically send invoices to Xero" is enabled.

Generate an hours based invoice and send it via Xero

Once you've enabled the Xero integration, you can conveniently send invoices directly to your Xero account.

To send an invoice to Xero:

  1. Navigate to the Finances> Invoices
  2. Create a new hour-based invoice: Generate an invoice detailing the hours worked and corresponding rates.
  3. Select Send via Xero: Once the invoice is ready, click on the Save and Share button and choose the Send via Xero option from the menu.

Note: Members chosen for the invoice have to be imported users.
