Workspace Ownership Transfer

Workspace ownership can be transferred in three ways:

  1. You have Owner access → Change the email directly in your settings
  2. New owner already has a WebWork account → Contact support for assistance
  3. Owner account is inaccessible → Follow verification process with support

Option 1: Transfer Ownership Yourself (Current Owner with Access)

Use this method if:

  • You are the current Workspace Owner
  • You have access to your account
  • The new owner doesn't have a WebWork account yet OR you want to change your email

How to do it:

  1. In your dashboard, go to Settings > Profile Settings > Profile
  2. Change your email address to one owned by the person you want to transfer your workspace to (or your other email if you want to stay the Owner but use another email address)
  3. Click Save changes

The new owner can now log in using their email address and the password you set. They can then change the password from their own settings.

Option 2: Transfer to Existing Executive Manager

Use this method if:

  • You are the current Workspace Owner
  • The new owner already has a WebWork account
  • They are an Executive Manager in your workspace

How to do it:

  • Contact our support about ownership transfer
  • Provide the email address of the new owner and ensure they are a registered member and an Executive Manager in the same workspace

Time to complete: 1-2 business days

Good to know

1. Data transfer: 
When you transfer ownership, you switch places with the other account. However, your tracked data is not transferred.

2. Log out and log in: 
To ensure a smooth transfer, both you and the new owner should log out of your accounts before and after the transfer.

 

Option 3: Transfer Without Owner Access

Use this method if:

  • The current Owner cannot access their account
  • You have legitimate authority to request the transfer
  • You can provide required verification

⚠️ Important: Only proceed if there's no dispute and you can verify your authority.

How to do it:

Step 1: Contact Support

Create a support ticket or email support@webwork-tracker.com with your transfer request. Include all of the following in your email or support ticket:

  • Company legal name and domain
  • Workspace name
  • Current Owner email
  • New Owner email
  • Reason for transfer (owner left, role change, etc.)
  • Your full name and title
  • Which verification method you'll use (Phone Verification, Email Verification, Billing Verification)

Step 2: Provide Verification

You must verify your authority as per the selected method:

Phone Verification

We will call the Owner’s registered phone to confirm the new owner email and approval.

Email Verification (Company Domain)

  • Send request from your company email (e.g., @company.com)
  • Must CC the current Owner
  • If legitimate and authorized, we will reset Owner email to the company address, have them log in and verify, then transfer in-app.

Billing Verification

Provide the last four digits of the card used for your WebWork subscription.

NOTE: We may refuse or delay a transfer if there is a dispute, insufficient proof, suspicious activity, or legal ambiguity.

Step 3: Security Hold Period

After verification, we implement a 12-24 hour security hold where we notify:

  • Current Owner (last known email) and/or
  • Billing contact and/or
  • Workspace admins

If no objection is received, we proceed with the transfer.

After verifying the transfer request, we will take the following steps:

  • Transfer Owner role to the new email and optionally demote previous Owner
  • Notify both the current and previous Owners, billing contact, and admins
  • Log evidence and timestamps in the audit log.
