Workspace Ownership Policy

Follow these guidelines if you want to transfer the ownership of your WebWork workspace to another person. 

If you are the Workspace Owner, you can transfer the ownership yourself by following this guide. 

However, if you are not the Owner, you need to follow the steps below:

First, proceed only if there’s no dispute and you can verify authority via any one of the methods below:
  1. Phone verification with current Owner
    We will call the Owner’s registered phone to confirm the new owner email and approval.
  2. Email verification (company domain)
    1. Requester must use company email (e.g., @company.com) and CC the current Owner as well.
    2. If legitimate and authorized, we will reset Owner email to the company address, have them log in and verify, then transfer in-app.
  3. Official company authorization email
    1. Requester must send us an email from an official company mailbox (IT/HR/Legal/admin) on the company domain explicitly authorizing the transfer (the current Owner must be CC'd in the email)
  4. Billing verification
    1. Match the last 4 digits of the payment card or a recent transaction/invoice ID and confirm billing email on file.
If email verification (#2) isn’t achieved, we will place a 12–24h hold and notify the following people:
    • Current Owner (last known email), billing contact, and workspace admins

If no objection within the hold, proceed using method #1, #3, or #4.

After verifying the transfer request, we will take the following steps:

  1. Check whether the new Owner is an active member and recommend 2FA.
  2. Transfer Owner role to the new email and optionally demote previous Owner.
  3. Notify both the current and previous Owners, billing contact, and admins.
  4. Log evidence and timestamps in the audit log.

We can refuse or defer the transfer for the following reasons:

  • Any dispute, insufficient proof, suspicious signals, or legal ambiguity.
  • Requirement for mutual consent or an official order to proceed.

Who can authorize the transfer

  • Required sender must be from a manager-level (or above) from HR / IT / Legal / Finance, or a functional mailbox (e.g., it@, hr@, legal@) managed by those teams.
  • Must have the same company domain, DKIM/SPF pass, title in signature/LinkedIn/website.
  • Email must have CC to current owner email address.

What must be in the email:

  • Company legal name and domain
  • Workspace name/URL
  • Current Owner email
  • New Owner email
  • Reason for transfer (owner left, role change, etc.)
  • Contact phone for verification
  • Date, full name, title
