Asana Integration

How does our Asana integration boost workflow on WebWork?


Asana is one of the task management integrations available on our platform. This integration enables importing projects, tasks, and members into WebWork and sent tracked time to Asana.

Integration guideline


  1. Go to the Integrations section in your WebWork dashboard. Here you can see all the integrations available in WebWork, including Asana, Trello, Bitrix24, etc. Select the Enable button next to Asana to get started.

  2. Log in to your Asana account, select the workspace you want to integrate if you have few. Then permit WebWork to access your Asana account.

  3. Next, on your WebWork page make integration adjustments

  • Members: Your Asana members will be reflected here. You can import them all or some by selecting with checkbox. Not imported members are marked with red, after importing they are marked with green. Members already registered in WebWork with the same email as in Asana, will be synced. Otherwise, members will be imported to WebWork, and an invitation will be sent to their email. After accepting the invitation, they will become active members of WebWork as well.

Projects: Navigate to the Projects tab. Select the projects you want to import. You have the option to import them with tasks and filter by status. All task statuses are selected by default, but you can choose specific ones by checking the boxes. Only tasks with the selected statuses will be imported. When a task is imported, its sub-tasks come with it, and the task keeps its priority and any Asana custom fields it had, so nothing gets flattened in the move to WebWork.

Importing projects are marked in blue. After toggling Import, it might take some time to import the projects.

All task statuses are selected by default, but you can choose specific ones by checking the boxes, and only the selected items will be imported. It might take a while to import projects so after toggling import please wait for a minute and refresh the page to check the current status.

  • Auto-Sync: Open Asana and go to Developer Console. Create a new token. Navigate to the Auto sync tab at WebWork, enter it in the API token field and click Save.

    • Auto-sync: Projects/tasks will be synched, if they are created, updated in Asana it will be reflected in WebWork.

      Auto-sync & auto-remove: Any projects or tasks that are created/edited/removed in Asana will also be created/edited/removed in WebWork.

Working with tasks in both directions

Once connected, the integration keeps WebWork and Asana in sync as work happens in either tool.

  • Creating tasks from WebWork: You can create a new task directly from WebWork and pick which Asana project it should belong to. The task is created in Asana automatically, no need to switch tools.
  • Editing tasks: Changing a task’s name, description, start date, or due date in WebWork writes the change back to the matching task in Asana.
  • Reassigning tasks: Changing a task’s assignee in WebWork updates the assignee on the Asana task as well.
  • Status changes: Moving a task to a different status in WebWork moves it into the matching section on the Asana board.
  • Send tracked time data from WebWork. Enable or disable sending tracked time. Time tracked in WebWork is pushed back to Asana as native time-tracking entries on the correct task and assignee, so tracked time reflected in Asana too.

FAQ


  • What is the data synchronization period?

    If the auto-sync checkbox is turned on, real-time syncing will occur, except for new projects, which will sync within two hours.

  • How to Unlink the integration?

    Navigate to Integrations → Asana and select Unlink. This will not reflect the imported data but auto-syncing will end. To resume tracking you should repeat the integration process. Pause integration option is available too.

  • Where can I see tracked time in Asana?

    Go to the Project in Asana press + on the right side of the task and select Time tracking from add field section. Tracked time will be reflected here.
